Overview

Blau Direkt enlisted our services to help with a 3-day training conference, where a large number of employees were flown over from Germany to London.

A new client for us, Blau Direkt required an on-site badge printing service across a 3-day event. Alongside a hotel style check in desk, Blau Direkt also asked us to manage their unique session scanning process that was of the upmost importance throughout the event.

The conference required multiple phases of strict delegate scanning, allowing the client to monitor anyone who came in and out of the exhibition hall, as well as seeing who attended which of the several break out sessions across the 3 days, and for how long.

Solution

For this event we sent our Delegate Services Manager and our Logistics Manager to oversee a team of 8 staff who worked on and off throughout the duration of the event.

Each day, our managers provided a team of staff with mini handheld scanners, under strict instructions to scan the barcodes on each attendees badge when they joined and/or left sessions. We also had two other teams scanning delegates into lunch halls and into late night seminars, to monitor attendance numbers.

Post event, our client services manager created multiple complex and detailed reports which could be sent on to the client. These custom reports contained crucial information, such as which sessions each attendee chose to attend, how many times they left or joined a session and, when they did leave, how long they were out for.
